Office Administrator (Part Time or Full Time Position)

If you are looking for a unique opportunity to supervise and manage the administration of a fast-paced and growing nonprofit youth agency …please read on! This is an ideal opportunity for a highly organized and energetic individual who is looking for an opportunity to work on various administrative aspects of a nonprofit, working very closely with the Executive Director. Overall, this position will be a blending of two main areas: 1) management and supervision of all fiscal responsibilities within UTEC and 2) support for Executive Director similar to an Executive Assistant.

Specific Responsibilities:

Executive Assistant Areas
• Organizing Executive Director’s schedule, task lists, and providing daily briefings and follow-up throughout the day.
• Screening of ED’s email inbox/voicemail messages and responding to various emails/phonecalls.
• Organizing and maintaining efficient filing system for the Executive Director’s office.
• Assist in report writing to funders and various memos on behalf of the ED.
• Supervise 2 other part-time fiscal/administrative staff.

Fiscal Areas
• Supervising all purchasing and vending contracts.
• Serve as liaison with UTEC’s bookkeeping accounting company.
• Assist in development of annual budget and ensure that monthly financial statements are prepared accurately.
• Payroll and Benefits Coordination (Timesheets, Vacation Tracking and other benefits).
• Supervise Accounts Payable and Accounts Receivable processes.
• Supervise banking, account reconciliation.
• Supervise maintenance staff.

Qualifications: Bachelor’s degree preferred; Related fiscal and administrative experience; Proficiency in Quickbooks required; Ability to set priorities and work independently a must; Must have strong written and oral communication skills, as well as excellent interpersonal skills; Should thrive in and enjoy working in a team-oriented environment; Ability to multi-task and adapt to changing environment required; High level of organization; Sense of humor and ability to laugh at oneself a must; Commitment to UTEC’s mission focused on youth development; Ability to handle confidential information; Must have tons of PASSION.

Compensation: Salary with full benefits based on experience.
